Create a distribution group based on your database

The process of forming recipients by hand is a long and inconvenient business.

With the help of mailing groups, the user can create a database of recipients in a convenient and fast way and create columns with data in it.

TAG is a word that is written in the message and is "#", for example, # Name #. During the sending of the message # Name # will be replaced with data that is taken from the distribution group table.

Distribution group table is a table in which there are columns with TAGs and rows (Figure 1). The standard columns are Phone (mandatory, can not be deleted) and FIO (it can be deleted / modified)

That is, a whole row of several cells corresponds to the number and, when sending, all the TAGs that are added to the messages are replaced with data from the cells of the row.

Let's show on an example, what for databases with the data are necessary.

The online store wishes to inform its customers about discounts on the 11/11/2017 sales day. To do this, he needs to send SMS to the base of his clients, while the store wants to apply to each client by name and inform the SMS about the discount for the type of goods that the customer purchases more often in order to interest him exactly.

It is enough for the store to create a message:
"Hello, # Full name # . We are glad to inform you that on 11/11/2017 there will be a grand sale of # GOODS # "(Figure 2).

In it # Name # and # PRODUCT # - TAGS that read data from the distribution group and insert individual data for each client. For example, one customer will receive a message
"Hello, Vasilyev Sergey Gennadievich . We are glad to inform you that on 11/11/2016 there will be a grand sale of headphones "
but to another :
"Hello, Soloveva Tatiana Mikhailovna . We are glad to inform you that on 11/11/2016 there will be a grand sale of kitchen appliances . "

How to work with distribution groups

The first step is creating a distribution group

To create a distribution group and start its registration, just click on the "+" in the form of the "Distribution Group". If you want to edit an already created group, you must select a group and click "Edit" (Figure 3).

Having entered into the creation of a new group, the user fills in the "Name" and "Description" fields.

Let's create columns for the TAG from the message mentioned above: # Name # and # PRODUCT # (Figure 4). The column is created by a green "+"

Important. When adding a new column, you can immediately select its name / TAG (Figure 5).

Also it is worth noting that by selecting the name from the suggested ones, the table will automatically select the cells that do not correspond to the selected name in red .

For example, if the column is "email", then cells that do not have mail data will be highlighted in red .

But the selection of the cell does not affect the sending of messages in any way - this selection serves only as a hint to the user.

The second step is to populate the distribution group

To fill a table, you can add a file with numbers and data or fill in all manually .

Information can be read from CSV or TXT file formats.

To add a file to the user, click on the "Import CSV / TXT" button and select the file.

Important. Always the first column "Phone" should be in the file. It is mandatory, because only from it numbers are read into the table.

To get the CSV format , you need to create a table in an Excel file and save it in the format "CSV (Delimiters-commas)"

That is, the user just needs to fill out the Excel table so that the first column has the name Phone, and the remaining names of the desired TAG or existing ones (Figure 6), and then: "Save as -> CSV (Delimiters-commas)"

We show how to create the same data table in TXT.

The TXT format is an ordinary notepad, formed so that all data in the line is separated by a "semicolon" , and the first line is the name of the column-TAG (Figure 7).

Now, as an example, we add a file that has a CSV format and contains 3 columns: Phone, Name, Merchandise (Figure 8).

The third step is the formation of data in a table

Add a few lines manually by pressing "+".

The lines added manually are left empty, so the user himself must fill in the added lines.

It is possible to fill not all table cells, but only necessary or known ones, leaving some cells empty (Figure 9).

Also, empty spaces are in the lines added from the file - this is due to the fact that the added file in this place was also empty.

While the message is being sent, the TAGs are replaced with data from the data table, but if the table cell is empty , then the message at that location will be empty .

The fourth step is to save new changes in the group table and add a group with TAGS to the newsletter

At the final step, the user needs to save the changes in editing the group to the "Save" button and return to the "Newsletter" section.

Add the distribution group to the mailing list recipients by selecting the group you want from the available groups.

If the group is selected, an orange circle appears with the number of group numbers in the distribution block and the "Tags" button is added.

Write the name of the message and compose the message itself with the addition of the TAG. Tags can be added by the button with the same name, and if the proposed list does not have the desired TAG, then it is required to write it manually. (Figure 10).

Now, starting the dispatch, each client will receive a message with individual data , which we added to the message using the TAG from the distribution groups.

Important. Together with the distribution groups, you can send a message to the numbers added manually. They will be sent the same message, but on the ground the TAG will be empty .
